Daily Procedures for RMS Ultra Lite

Overview

This topic is a guide only to assist you in your daily procedures within your RMS system.

Logging into RMS9

Open your internet browser (E.g. Internet Explorer, Firefox, Chrome etc)

Go to www.rms.com.au

Hover the mouse over Login

Left Click once on Login to RMS9

When the RMS9 Login page appears enter your RMS Client No., Username and Password then click on Login

Adding a New Booking

From any screen within RMS9

Click once on Charts on the Navigation bar

Choose Booking Chart from the sub list (or you may use the short cut icon on Navigation bar shown below)

Once on the chart navigate to the Area / Arrival Date that you wish to make the reservation for.

When you have found the cell which corresponds to the Area and Arrival date of your reservation, left click once in the cell to receive the Option box shown below, left click once on 'Quote/Add Reservation'.

You will now be taken to the Add Reservation screen shown below

The first four (4) fields in the guest details column are smart search fields.  These fields allow you to search for a guest that may have stayed with you before by using their Phone number, Email, Surname or Postcode OR you may even use a combination of these fields.

Once you start entering information into any of the four (4) fields the screen will change as per the below screen shot

Any multiple matches found will show on the right of the screen, and to select one of these matches simply double left click on the guest’s name.

However if a single exact match is found it will automatically populate the guest details column for you immediately.

If no match can be found you may manually enter the contact information for the guest into the fields provided.

Now that we have found our guest we will taken directly to the Arrival Departure calendars.

Select the Arrival Date from the left hand calendar and the Departure Date from the right hand calendar then choose OK.

Now that you have entered the relevant information, click once on Save/Exit to create your booking.

This will now pull the availability from your Database, which will upload to your websites

Finding an Existing Booking

From any screen within RMS9

Click once on ‘Reservation’ found on the Navigation bar, then choose ‘Find Reservation’ from the sub list (or you may use the short cut icon on Navigation bar shown below)

Under the heading ‘Search On’ select ‘Surname Given’

Under the heading ‘Status’ tick the specific status of Cancelled, Unconfirmed and Confirmed

Under the heading ‘Options’ enter the guest Surname

The results of your search will appear listed on the right hand side of the screen.

When you have located the reservation you wish to cancel left click once on the reservation number displayed in blue text in the first column.

NOTE: If only one match is found the system will automatically open the reservation screen for you.

Cancelling an Existing Booking

Locate the Booking from either going to the ‘Booking Chart’ or ‘Find a Reservation’.

Once you have the reservation screen open left click once on the 'Cancel' button found on the bottom left of the screen.

You will receive the below message, select YES.

To Exit the reservation screen, left click once on the Save/Exit button in the bottom right corner.

This will release this room back into availability ready to be sold again

Extending an Existing Booking

Locate the Booking from either going to the ‘Booking Chart’ or ‘Find a Reservation’.

Once you have the reservation screen open to extend the guests stay change the number of nights on the screen to reflect the new number of nights stays.

Once completed select Save Exit.

Building a Reservation List Report

This report is typically used when you need to get a list of all reservations over a specific dates based on certain criteria for example you may want to know for the current week which reservations were made by an online agent as opposed to over the phone.

From any screen within RMS9

Click once on Reports on the Navigation bar

Choose Daily from the sub list, then Reservation List

Once you have chosen the criteria you wish to build your reservation list for select the build button on the bottom right corner of the screen.  The report will then render and display like the below

How to change an Online Rate

You may wish to override your existing Rate for a quick special or to manage your availability

From any screen within RMS9

Click once on Charts on the Navigation bar

Choose Rate/Availability Chart from the sub list (or Short Cut on Navigation bar)

Choose the date you wish to over ride and right click in the cell

Choose the option ‘Manually Override Rate’ enter the ‘from’ date and ‘to’ date then the new rate, select Apply/Exit when complete.

Note that the rate displayed in the cells for the dates you have chosen will now appear in red.

How to change an Onine Allotment

You may wish to override your existing Availability to perform a stop sell etc

Choose the date you wish to override and right click in the cell

Choose the option ‘Manually Override Allotment’ enter the ‘from’ date and ‘to’ date then the new allotment, select Apply/Exit when complete.

Note that the allotment number displayed in the cells for the dates you have chosen will now appear in red.
