The RMS Vault, allows you to store credit card information from Online Bookings offsite in a secure location ensuring that your RMS system remains PCI Compliant.
This feature can ONLY be accessed via RMS 9.
Any reservations received from any online channel which have credit card information will automatically be stored in the RMS Vault.
This feature will work for both the RMS Book Now Button and also any Online Channel. E.g. Wotif, Booking.com etc.
When credit card details are passed to RMS via an external online channel (E.g. Wotif or Booking.com) we will take this card information and store it encrypted in a secure location.
When the card is stored a Token is then passed back to RMS allowing you to access the RMS Vault from RMS 9 to obtain the card information for that reservation.
If you do not wish to take a deposit/online payment at the time the online booking is processed using the RMS Book Now Button then you will need to check the option at the top of the screen named 'No Deposit/Payment Required'.
By checking this option you will then need to decide on which of the three Credit Card Storing Methods you wish to use;
- No Credit Card Capture
- RMS Vault
- Own Gateway

When card information is sent to the RMS Vault CVV details will not be stored for security reasons; instead an email will be sent (using the below Hierarchy) advising you of the CVV number for the Online Booking.
The information will be contained within a password protected PDF attachment. The password you will require to open this PDF is your RMS Client Number.
In the case that your database is RMS Central (multi property) then you will need to know your Owner
RMS Client Number.

When you access the RMS Vault for CC information, each CC will have a randomly generated Reference Number shown, this Number can be used to search your email to locate the CVV information.
If a user has forgotten their RMS Vault password a reset password is emailed to them.
The email address that the reset is sent to works from the below hierarchy;
- Setup > Online Bookings > Options > General Tab
- Setup > Property Options > General Information > Owner Tab
- Setup > Property Options > Property Information
From any screen within RMS 9
Click once on Setup on the Navigation bar
Choose Online Bookings from the list
Choose Options from the sub list
Choose the General Tab
Ensure the email address set is correct
Select Save/Exit.
From any screen within RMS 9
Click once on Setup on the Navigation bar
Choose Property Options from the list
Choose General Information from the sub list
Choose the Owner Tab
Ensure the email address set is correct
Select Save/Exit.
From any screen within RMS 9

Edit the Property Record
Ensure the email address set is correct

An expiry date of 2 weeks past the original departure date of the reservation is set for an automatic Expiry of any RMS Vault information.
