Deposit Online Information
Goal
After completing this tutorial you will have setup your RMS Book Now Button Page to take a deposit that is seperate from your normal Rate Deposits.
Steps
First Step
From any screen within RMS 9
Click once on Setup on the Navigation bar
Choose Online Bookings from the list
Choose Options from the sub list
Select the Deposits Tab at the top of the screen
Second Step - Setting your Deposit for RMS Online Book Now Button Only
No Deposit Required
If you DO NOT wish to take a deposit/online payment at the time the online booking is processed then you will need to check the option at the top of the screen named 'No Deposit/Payment Required'.
NOTE: Once the option 'No Deposit Required' is selected you will not be able to turn this off without contacting the RMS Support Team.
If you wish to take an online Deposit DO NOT tick this option and instead refer to the heading Setting a Deposit for RMS Book Now Button Bookings Only below.
By checking this option you will then need to decide on which of the three Credit Card Storing Methods you wish to use;
No Credit Card Capture
This option will allow your guests to book online without asking for any credit card information as confirmation.
RMS Vault
This option will ask your guests for Credit Card information to confirm the booking. The Credit Card information will be stored outside of your RMS Database in the RMS Vault.
No payment is taken from the card at the time of the booking.
Please Note: The RMS Vault can only be accessed from RMS 9.
Own Gateway
This option will ask your guests for Credit Card information to confirm the booking. This information will be processed in your payment gateway and a token will be stored in RMS.
No payment is taken from the card at the time of the booking.
This token can then be used to process payment against the card in RMS.
Please Note: This option will only work for the following gateways DPS, TGate (Bridgepay) and X-Charge.
Also once 'No Deposit/Payment Required' is checked and saved this option will then turn read only. To turn this option off you will need to contact the RMS Support Team - Contact Us.
Setting a Deposit for RMS Book Now Button Bookings Only
If you wish to take a different deposit for online bookings opposed to what you would normally take for phone bookings you can use this screen to override your Rate Deposit setup.
A reason for doing this is that you may with to take 100% payment of the online booking but only 50% of a phone booking.
Examples are outlined at the bottom of the screen for assist you with the setup of the deposit rules.
Further Examples
If you simply wish to take 100% of every reservation the top line should read;
Days Prior to Arrival = 0
Amount = 0.00
Percentage = 100
Use first Nights Rate = unchecked
If you wish to take the first nights rate of every reservation the top line should read;
Days Prior to Arrival = 0
Amount = 0.00
Percentage = 0
Use first Nights Rate = checked
If you wish to take 100% of reservations arriving in the next 30 days but only 50% arriving more than 30 days in the future ;
The top line should read;
Days Prior to Arrival = 0
Amount = 0.00
Percentage = 100
Use first Nights Rate = unchecked
The second line should read;
Days Prior to Arrival = 30
Amount = 0.00
Percentage = 50
Use first Nights Rate = unchecked
If you wish to take $200 and/or 50% of every reservation the top line should read;
Days Prior to Arrival = 0
Amount = 200.00
Percentage = 50
Use first Nights Rate = unchecked
