Using Allotments

Overview

Allotments are no longer required to be setup in order to connect to an online channel.

By simply ticking the option to 'Available to RMSOnline' and setting a 'No of Rooms to hold from RMSOnline' at the category level, your channels will then see the number of rooms in the category less what you have elected to hold back.

However if you wish to set specific allotments this article will take you through the steps to do this.

Feature

There are two types of allotments you can choose to set against a channel, they are, Default Allotments or Channel Allotments, below we have outlined each.

Default Allotments

Default allotments allows you to set one group of allotments which can then be assigned to many online agents, in effect they are pooled allotments shared amongst many.

Getting to the Default Allotments Screen

From any screen within RMS9

Click once on Setup on the navigation bar

Choose Online Bookings from the list

Choose Default Allotments for all Internet Bookings from the sub list

Setting your Allotments

Select the Add button on the bottom right of the screen, the below screen will appear;

1. Select the first Room Type using the drop down field provided.

2. In regards to the life span of your allotment you have two choices;

Permanent allotment (RMS Recommended) Date Range Allotment

By choosing to use permanent allotments this will ensure that your allotments never stop, this is similar to a set and forget system.

To use this option check the box on the right named 'Set Permanently'.

This type of allotment has a start and end date.  If you choose to use date ranges you must ensure that you extend the To date prior to its expiry, failure to do so will mean that you will stop passing availability to your channels from this date.

To use this option enter a from and to date into the fields provided.

3. You must now enter a number of rooms you wish your channels to be able to sell within this room type provided they are available.  We suggest that if you have chosen to hold one (1) room back in your room type setup then this number to enter here would be the total number of areas in this category.

4. The No. of Days before Release is an optional field.  By placing a one (1) in this field you are telling your channel that no-one can book this room type today.  Leaving this field at zero (0) shows the true availability for today.

Once all steps are completed select Save/Next until you have set your desired allotment for each room type.

Assigning Default Allotments to your Channels

Each SetDefaultAllotment.jpgChannel connection screen has three allotment choices on the right had side of its screen.

To set a channel to use default allotments, simply edit the Channel and change the selection to be default allotment, then Save.

 

 

 

 

 

 

 

 

Channel Allotments

Channel Allotments are specific to a certain Channel.

When setting up your Channel connection you will note there are three allotment choices on the right had side of its screen.

To use Channel Allotment select this option.

You will now note you will have a Channel Allotment button at the bottom of the screen, to allow you to set specific allotments for this channel.

 

 

 

Setting your Allotments

Click once on the Channel Allotment button at the bottom of the Connection Details screen for your channel in question.

Then select Add, the below screen will appear;

When all allotments are set select exit from the Channel Allotment screen.
